Forward-deployed: analysis to implementation

Keep orders moving. Reduce back-office friction.

For wholesalers and distributors, an order can cross email, customer-specific prices, product references and several systems before it is ready to fulfil. We improve that workflow with your team, connecting existing tools and adding automation or tailored software where useful.

We start with your current process, systems and constraints. The scope is agreed after analysis.

Illustration of the proposed workflow.

Where operational time is lost

Orders need re-keying

Email and spreadsheet orders must be matched to product references, units and customer terms.

Information is scattered

Sales staff switch between price lists, stock exports and the ERP to answer one customer.

Exceptions live in inboxes

A missing reference, price discrepancy or delivery change is difficult for the next colleague to follow.

From the real workflow to a working improvement

  1. Observe on site

Follow real work with operations, administration and the relevant system owners.

  2. Agree the improvement plan

Choose a useful first scope, its controls and how to assess the expected benefit.

  3. Implement and connect

Improve the process and configure, integrate or build the tools it needs.

  4. Test and put into use

Test representative cases, train the team and review results and running costs.

Improvements we can implement

  • A checked order intake workflow for the agreed document formats and customer references.
  • A shared order desk showing status, missing information and items needing review.
  • Supported connections to your ERP, stock tools or catalogue, without a parallel source of truth.
  • Clear handoffs between sales administration, fulfilment and billing preparation.

What stays under your control

  • Your existing software remains the agreed source of record.
  • Your team approves business rules, access and sensitive actions.
  • Exceptions are visible and have a defined human review route.

Illustrative workflow, not a client case study

A customer order with different product references

Illustrative example: a customer sends a spreadsheet using its own item codes and packaging units. The proposed workflow matches agreed references and customer terms, flags an unknown line and prepares the approved order for the existing system. Sales administration reviews the exception before release. The design depends on available data and supported interfaces.

Useful automation, sustainable running costs

The aim is a useful improvement at a sustainable running cost. We compare changes to the process, configuration of existing tools, integrations and custom development before choosing a scope. AI is optional; routine rules and calculations use ordinary software. Data volumes, connected systems, hosting and maintenance inform the estimate.

Discuss the workflow and its costs

Questions before you start

Do we have to replace our existing system?

No. We first assess how to improve operations around the systems you already use. We check supported interfaces and agree where data is recorded. Replacement is considered only when a specific limitation justifies it.

Does every project need AI?

No. A clearer process, a system connection or a tailored screen may be enough. AI is useful for some documents and text, but we test whether it improves the task and whether its running costs are justified.

Where do we start?

With a conversation about the work that creates delays or repeated administration. We then agree an on-site analysis with your team before proposing priorities, implementation scope and operating costs.

Where does an order slow down?

Tell us how customer orders arrive, which systems you use, and where checking, re-keying or internal follow-up takes time. We can identify a useful first improvement with your team.
