Forward-deployed: analysis to implementation

Automate order and invoice processing

Stop copying the same information from emails and PDFs into your ERP. We build a checked intake workflow around your documents, business rules and existing systems.

We start with your current process, systems and constraints. The scope is agreed after analysis.

Illustration of the proposed workflow.

When this is worth looking at

Repeated data entry

Your team retypes supplier invoices or customer orders, then checks the same details again.

Scattered exceptions

Missing references, conflicting prices or duplicates disappear into email threads.

Volume bottlenecks

Busy periods add a queue of documents instead of productive work.

How the workflow changes

  1. Collect

Agree which mailbox, upload or document source should feed the workflow.

  2. Extract and check

Read the fields, then validate references, totals and required data against agreed rules.

  3. Resolve exceptions

Route uncertain or inconsistent documents to a person with the supporting source.

  4. Enter and trace

Write approved data through the available ERP interface and record what happened.

What we implement

  • A document intake and extraction workflow.
  • Validation and duplicate checks suited to your process.
  • An exception queue with the original document.
  • ERP integration or an agreed import/export route.

What stays under your control

  • Your team decides which exceptions require approval.
  • Permissions limit what the integration can read or change.
  • Checks and processing status remain visible.

Illustrative workflow, not a client case study

From a supplier PDF to a checked ERP entry

A wholesaler receives a supplier invoice by email. The target workflow extracts its references and line items, compares them with the agreed supplier and order data, and prepares an ERP entry. A conflicting reference goes to the team instead of being silently posted.

Useful automation, sustainable running costs

We use business rules for checks and AI where document interpretation adds value. Running costs depend on document volume, format complexity, storage and exception rates. We agree the cost drivers before implementation rather than choosing an expensive model for every step.

Questions before you start

Can this work with our ERP?

We first check available APIs, import formats and permissions. If direct integration is not practical, we discuss an import route or assisted entry before agreeing the scope.

Do people still check invoices?

Yes, where the agreed rules require it. Uncertain extraction, conflicting data and actions needing approval are routed to people. Automation does not mean every document is accepted automatically.

What do you need to assess the process?

The document sources, ERP name, approximate volume and common exceptions. Start with a process description; we agree a suitable way to handle sample documents afterwards.

Where is your document queue getting stuck?

Tell us where documents arrive, which system they enter and what your team keeps correcting. We’ll identify a sensible first workflow to examine.
